🏠 Ownership Data

Learn how ownership data is sourced, how often it’s updated, why discrepancies occur, and when to spot-check records against county data.

Updated over 3 weeks ago

🔄 How often is ownership data updated?

We ingest ownership updates from counties every day, updating tens of thousands of records daily across the United States.

However, update frequency ultimately depends on each county’s assessor, treasurer, or GIS department:

  • 🗓️ Daily or near-daily updates in some counties

  • 📆 Weekly, monthly, or irregular updates in others

  • 🏢 Timing varies based on staffing and internal processes

📌 Key takeaway
Ownership data is refreshed daily on our end, but county update schedules vary and cannot be standardized nationwide.

🧭 Expected alignment with county records

Our goal is to match the most recent ownership data publicly released by each county.

Counties differ significantly in how quickly they reflect:

  • 📄 Deed recordings

  • 🔁 Internal transfers

  • 🚐 Mobile home ownership changes

  • 🏦 Trust updates

  • 🖋️ Special warranty deeds

We consistently see slower update cycles and higher lag variability in certain states and counties—particularly parts of Oklahoma and Arkansas—compared to states like North Carolina or South Carolina, which typically maintain more modern and frequently refreshed systems.

📌 Key takeaway
County technology and processes—not data providers—are the primary drivers of ownership update timing.

⚠️ Regarding discrepancies

Finding discrepancies in a small number of parcels does not indicate the broader dataset is out of date.

Ownership data is probabilistic at the margins due to county-level delays. In any national dataset, it is normal for a small percentage of records to lag behind recent filings—especially shortly after ownership changes occur.

📌 Key takeaway
Minor discrepancies are normal in national ownership datasets and do not reflect overall data quality.

🔍 When should I spot-check ownership?

Most users can rely on our ownership data for everyday list building and analysis. That said, we recommend spot-checking directly with the county in the following scenarios:

  • ✉️ Before final mail drops or large outbound campaigns

  • 💰 Prior to closing or submitting offers on high-value parcels

  • 🆕 When targeting recently transferred properties

  • 🐢 In counties with slower or irregular update cycles

  • 🏠 Records involving trusts, estates, or mobile homes, which often update more slowly

Spot-checking a small subset of records helps ensure accuracy at critical decision points—without sacrificing scale or efficiency.

📌 Key takeaway
Spot-check selectively at high-impact moments, not across your entire dataset.

🌍 Why this is normal in land investing

Every data platform in the land investing industry—including ours—relies on counties as the source of truth.

Short of manually checking individual parcels on county websites (when available), there is no way to guarantee same-day ownership accuracy nationwide.

Our approach is to centralize, normalize, and continuously refresh ownership data across the entire U.S., saving investors significant time and cost compared to manual research.

For most land businesses, the efficiency, scalability, and cost savings far outweigh the small percentage of records that may require spot-checking before final mail drops or acquisitions.

📌 Key takeaway
Centralized data dramatically reduces research time while maintaining practical accuracy at scale.

✅ Accuracy & track record

  • 👥 250+ active customers running profitable land businesses

  • 📈 Many full-time operators doing seven figures annually

  • 🧠 Ownership data among the most accurate available at national scale

  • 🏡 Land ownership is relatively stable, supporting overall accuracy

📌 Key takeaway
Our data is battle-tested by high-volume, professional land investors across the nation.
